On what versions of Windows does SimpleIndex run?
SimpleIndex will run on Windows 11, 10, 8, 7, Vista, 2008 editions.
It would not run on Windows ME or NT.
SimpleIndex 8.3 and below are compatible with Windows XP, Server 2003 and Windows 2000.

How do i setup Simpleindex to use a Database table field as a list file when the table is not the same as the table i am using on the Database Tab.

All you will need to do is put the table and field name you want to pull from in the Dictionary Matching & List Fields Box. It should be formatted just like the example below.

When I click Media Wizard, an error comes up saying “Installer Not detected in C:\Program Files\SimpleIndex\CDFiles\setup.exe” How do I fix this?

You must include the latest SimpleIndex Standalone or Imaging Suite installer with your CDs to enable the search function. Download this file to “C:\ProgramFiles\SimpleIndex\CDFiles\setup.exe” to enable the Media Wizard or update it to the latest version.

In the middle of a batch that was scanned our computer is receiving an error, from that point to the end of the batch it’s not saved. Is this a SimpleIndex problem or windows?

This usually indicates an overload of the memory of the computer, which causes an error. The usual solution to this issue is to scan batches with a fewer number of pages.

I’m using full page OCR. The information is all appearing in the txt file but it is losing format about half way through. Data to the right is ending up at the end of the txt doc. Can this be fixed?

SimpleIndex version 7 solves this problem with the incorporation of the FineReader OCR engine. Full text in PDFs will now flow with the formatting of the PDF.
Legacy Versions: SimpleIndex can also be used with other OCR applications and servers to improve accuracy, formatting and performance. Use the OCR applications to convert the scanned images to text or searchable PDF, and SimpleIndex can extract index values from the text and automatically sort and organize the files.

SimpleIndex creates output files with upper case file extensions but we use an UNIX-based fileserver which requires lower case file extensions. How can i change the output file extension from upper case to lower case (e.g. from .PDF to .pdf)?

In SimpleIndex 6, file extensions were changed to default to lower case so this should no longer be an issue. If you want to default back to upper case file extensions, you must edit the registry.
Go to HKEY_LOCAL_MACHINE\Software\SimpleIndex\Misc
Create a String value called “UpperCaseFileExtension” and set to 1 for upper case or 0 for lower case.
This registry setting will also work to change the default behavior of version 5.

Can I scan with a Kofax Adrenaline based scanner interface?

Yes it is possible to scan with Kofax Adrenaline based scanners using the Adrenaline TWAIN or ISIS data source.
To configure ISIS, you may need to select one of the general Kofax drivers such as “Any Fujitsu Scanner with Adrenaline” or “Kofax Arenaline Scanner”.
To configure the TWAIN data source:
1. Download the Kofax Adrenaline TWAIN Data Source from Kofax Adrenaline Patches
2. Configure a scan source in KSM (in your computer’s Control Panel) called TWAIN SOURCE
3. Select the Kofax Adrenaline TWAIN driver from the Select Scanner dialog in SimpleIndex
There should be little difference in performance due to using the TWAIN interface, and all the Kofax image processing controls will still be available.

I have a scanner with Virtual ReScan (VRS) that is not scanning properly. How do I solve this issue?

Any time that you have a scanner with Virtual ReScan (VRS) you must pick Kofax VRS as the scanner instead of the scanner model itself. With VRS you assign the scanner to VRS and then anytime you pick Kofax VRS as the scanner in your scanning software the assigned scanner will be the scanner that is used. |

Is the document Search/Retrieval and View functions available in SimpleIndex or available only with the SimpleSearch add-on module?

All of the search functions can be used with any SimpleIndex license. SimpleSearch is only needed to enable searching from other workstations.

How can I change from letter to legal size documents?

This is done through the TWAIN or ISIS settings for your scanner. To access these settings select “Display Scanner Settings” from the “Scan” file menu. Next click the “Run Job” button and before the scanning process starts your scanners TWAIN or ISIS settings dialog box will appear.
Every TWAIN or ISIS dialog is different, but any of them have a clear option for changing page size or auto detecting page size.

If it possible for index values to be keyed twice to ensure accuracy (double-key verification)?

There are two ways to do double-key verification in SimpleIndex.
When there is one operator, simply configure 2 index fields with the same name. The index value can only be saved if the 2 fields match.
If there are multiple operators, you can accomplish the same thing using “Database Update Mode”. The first user keys the value, and that is saved in the database to Field 1. The 2nd user uses a configuration that has two fields with the same name–one that reads the value from Field 1 and another that is mapped to Field 2 (initially blank). The 2nd user keys the value into Field 2 and will only be allowed to save it if the value matches Field 1.
We recommend contacting our professional services department before attempting to setup double-key verification in a multi-user environment, as this is one of the more complicated configurations that SimpleIndex supports.

Is it possible to have the scanned image itself added to a database and not just the image path?

Yes. Image files can be inserted into binary fields in Access, SQL Server, Oracle, MySQL and other databases.
Check the “Store files as binary objects” option on the Database tab and the “Output File Field” setting can be mapped to a binary field.
If using PDF, MS Office or other non-image files, use the File Type Field to store the file extension of the stored file.
SimpleSearch mode will let you view files stored using this method as well.

What scanners are compatible with SimpleIndex? How do I find a list?

SimpleIndex is compatible with any device that has a TWAIN or ISIS driver. This includes virtually all makes and models of scanner, as well as many specialty scanners, digital cameras and other devices.
In the few instances when a scanner has a proprietary driver, it can still be used with SimpleIndex by first scanning to a folder and setting SimpleIndex‘s input to “From Folder” on the Input tab.
For many high-speed scanners (over 50 pages/minute), ISIS drivers provide improved throughput versus TWAIN. It is recommended you purchase the ISIS driver option with these scanners.
ISIS drivers also let you save your scanner settings to a file that can be distributed with your SimpleIndex configuration.

I have a scanner/copier that creates PDF and TIFF files and saves them to my file server. Can I use SimpleIndex to create a searchable CD/DVD from these files?

This feature is included in SimpleIndex at no additional cost and is called the Media Wizard.
The Media Wizard is located in the “Send” file menu and is called Media Wizard. It allows you to burn your images, indexes, a database and a free SimpleSearch viewer for just the CD or DVD. It also provides an easy way to get the maximum amount of information on the media that you want it on.
You set up the Media Wizard by pointing it to your image folder and database and you select the media that you would like to put it on. It then saves a file folder with all the files that you would need in the size of the media you are using in the location that you designate. You then burn these files using the burning application of your choice.

If I have a form which is filled manually by hand, can SimpleIndex read the data from it?

SimpleIndex offers two kinds of ICR (Intelligent Character Recognition) for converting printed and script handwriting to text.
The Cloud OCR feature enables the Amazon AWS Textract OCR engine, that has the ability to read unconstrained print and scripted handwriting with surprisingly good accuracy.
The FineReader OCR engine offers handprint recognition designed for forms processing. it is optimized for hand-filled forms that use letter boxes or combs to ensure each letter is separated. FineReader will also work with underlined text as long as it is printed. For cursive scripts the Cloud OCR option is recommended.

When exporting to a database, I get the error “Multi-step operation generated errors”

This error is usually caused when the data you are trying to insert does not match the data type of the database field. This could be a text value being inserted into a number or date field, or a text value that is longer than the maximum length of the field.
To avoid this error, be sure to use the correct Field Type and/or Template on the Index tab to force the user to enter data in the correct format. You may also need to adjust the data types or lengths for your database fields.

When I use an Autonumber with single-page files, only the page number is shown in the filename and not the Autonumber.

This happens when the autonumber is in the same format as file page numbers. By default, page numbers have 4 digits–0001, 0002, etc. If you need to use an autonumber with 4 digits, you should set the FILE_NUMBER_LENGTH setting in the INI file to 5 (accessed from the Advanced tab).
