Casino document scanning for revenue audit, cage and compliance

A leading US casino operator runs SimpleIndex in production. SimpleIndex scans, indexes and files the paperwork behind the gaming floor by gaming day and department, on your own servers, with one license per workstation and no fee per page.

Three Contoso TITO wagering vouchers from the drop go through read, file and check: the validation number from the barcode, the gaming day and the amount come out as index values, the voucher is filed as Slot\10-12-2026\TITO_986987973091141707.pdf, and the gaming day is checked against the redemption report, 12 vouchers matched and 1 redeemed but not in the drop

Casino management, cage and Title 31 systems have taken over much of the floor, but the audit trail is still paper: signed jackpot and fill slips, logs kept by hand, tax forms with copies of patron IDs, and the invoices and personnel files around them. Someone in revenue audit or the cage scans, names and files it every day.

SimpleIndex does that part. It does not replace the systems you run; it reads what is printed on each page, files it where your auditors and regulators expect it, and keeps it on your own servers.

The paperwork behind the gaming floor

One department at a time, with the same software and its own job settings for each kind of document.

Revenue audit

Configuration

Jackpot payout and fill slips, table fill and credit slips, opener and closer inventories, soft count sheets. SimpleIndex reads the slip number, the gaming day and which copy it is from the copy line printed on it, and files one searchable PDF per slip by gaming day.

Uses full-page OCR · gaming day folders

Cage and Title 31

Configuration

Multiple Transaction Logs, Negotiable Instrument Logs, CTR support, Forms W-2G and 1042-S with ID copies, markers. Filed by form and gaming day, or to the patron's file, and kept on your network.

Uses full-page OCR · typed fields

TITO tickets from the drop, disputes and legal holds. The 18-digit validation number comes from the barcode, the gaming day and amount from the text, and each voucher becomes a PDF named by its validation number, with a log of every one.

Uses barcode recognition · index log

Configuration

Invoices from food and beverage, hotel and gaming suppliers. Vendor, invoice number and date are read from the page, and each invoice is saved as a PDF named by all three.

Uses zone OCR · file naming

Human resources and licensing

Configuration

New-hire packets, signed policy acknowledgements, gaming license files. A barcode with the employee badge number on each form files it in that employee's folder, named by form and date.

Uses barcode recognition · employee folders

Put a separator sheet in front of each kind of document and scan the day's packet as one stack. SimpleIndex splits it at each sheet, leaves the sheet out, and files every section by department and gaming day.

Uses separator sheets · one scan

Slips, packets and forms, filed the same way

The routine that files vouchers works for the rest of the back office. Here are sample jackpot slips, an audit packet and HR forms as SimpleIndex read them, and the folders it filed them in.

Three SimpleIndex windows and the folders they filed into: a jackpot slip read as Revenue Audit, gaming day, slip number and copy, with three copies of each jackpot filed side by side; an audit packet split at its barcode separator sheets into FILL SLIPS and JACKPOT SLIPS files; and an HR form read by badge number E51875 and filed in that employee folder

Sample documents made for SimpleIndex demonstrations. Contoso Casino & Resort, its employees and its patrons are made up.

Example one_drop

One drop's TITO vouchers, start to finish

Invoices, slips and employee forms go through the same steps with their own settings, set up once in the SimpleIndex Configuration Wizard.

  1. Scan the drop

The revenue audit clerk scans the TITO tickets from the drop, or saves the scans to a shared folder.

A Panasonic KV-S5055C production scanner with a sample jackpot payout slip in the feeder, an audit packet separator sheet in the output tray and a sample Multiple Transaction Log beside it
  2. Read each voucher

SimpleIndex reads the barcode. One it cannot read, such as a torn or scuffed ticket, stops on screen for the clerk to type the number.

A scanned sample cashout ticket beside the SimpleIndex index fields: the validation number shows in red while the clerk types it, and the gaming day and amount are read from the ticket
  3. File by gaming day

Each voucher is saved as a searchable PDF named by its validation number, in a folder for its department and gaming day, and the index log lists every number and amount.

Windows Explorer open at Slot\10-12-2026, with twelve PDF files each named TITO_ and the voucher validation number
  4. Check against the report

The log is matched with the slot system's voucher redemption report: totals per gaming day, and any voucher redeemed but missing from the drop stands out.

Voucher reconciliation for gaming days 10/12 and 10/13: 12 vouchers matched each day, and two vouchers redeemed at Kiosk 2 that are not in the drop

Built for audit and regulator requests

Rules differ by state and by tribe, and your compliance team decides how imaging fits your MICS or TICS. This is where SimpleIndex sits against the ones casinos ask about most.

Imaging rules (Colorado, Mississippi)
Records are imaged after review and audit, each indexed by gaming department and date. SimpleIndex works in batches after the audit and puts the department and gaming day in every folder and index, and we give you the system name, version and manufacturer for your notice to the regulator.
Batch control
The index log lists every document in each batch, so the count can be checked against the pre-scan count before the originals are destroyed.
Title 31 and the Bank Secrecy Act
Filed CTRs and the logs behind them are kept for five years. As indexed, searchable PDFs on your own servers, they are found by gaming day or patron while the examiner waits.
Form W-2G
Since January 2026 a slot jackpot needs a W-2G from $2,000, up from $1,200. Every hand pay still leaves a slip and a form with a copy of the patron's ID, filed by gaming day and kept off outside services.
NIGC MICS and tribal TICS
SimpleIndex runs on the tribe's own servers, and each job is set up to the property's internal control standards.

In production at a leading casino operator

One of the largest casino operators in the United States runs SimpleIndex across many workstations, with ISIS support for production scanners. Staff scan documents and type a few index fields; SimpleIndex reads barcodes on one set of documents and the full text on another. We set the system up and trained their team, and they have renewed support every year since.

On your servers, for one price

SimpleIndex is installed on your own workstations and servers. Tax forms, ID copies and personnel files stay on your network; scans are not sent to an outside service unless you choose a cloud OCR engine for a job.

SimpleIndex Professional is $1,800 per workstation, including the first year of support, then $300 a year. You buy each license once, with no charge per page. The server processing add-on runs large batches unattended.

Questions casinos ask

Does SimpleIndex replace our casino management or cage system?

No. It files the paper those systems leave behind and works alongside them.

Do we need approval from our gaming regulator?

Some regulators approve an imaging system before originals may be destroyed; Colorado, for example, asks for the system name, version and manufacturer. We give you those details and a description of the indexing.

Does it work for tribal gaming operations?

Yes. SimpleIndex runs on the tribe's own servers, and each job is set up to the property's TICS.

How does it handle multi-part slips?

It reads the copy line printed on each part, such as COPY 2 - CAGE, and puts it in the file name, so a black-and-white scan still tells the copies apart.

Is there a fee per page or per document?

No. You buy a license per workstation, with yearly support after the first year.

Which edition do we need?

Professional covers everything on this page, including full-page OCR and automatic page rotation. Barcode reading and searchable PDFs also work in Standard.

Try it on your own documents
