Document capture is everything between a box of paper, or a folder of PDFs, and documents you can find again: scanning or importing, splitting the stack into documents, reading the values that identify each one, naming and filing it, and sending the data where it belongs. SimpleIndex does all of it on your own Windows PC or server, licensed once with no per-page fee: $600 for Standard, $1,800 for Professional.

Bring documents in
Scan on any TWAIN scanner, or an ISIS production scanner with Professional or the ISIS add-on. Or point the job at a folder of PDFs and images, including a cloud folder that syncs to Windows. Professional also takes documents straight from email.
Split the stack
A barcode or coversheet, a blank page, a set page count, or a value read off the first page starts the next document, so one scan of a mixed stack becomes the right number of files.
Read the values
Barcodes, zone OCR and full-page OCR in both editions. Professional adds dynamic OCR, mark recognition, handwriting, and the FineReader, Textract and AI engines for values that need to be exact.
Check what needs checking
Field review and format rules flag values that don't look right, so a person confirms only those instead of every page.
Name, file and export
File and folder names are built from the values read. Documents go into the folders you already use or your database, and in Professional to SharePoint, email, XML and JSON or QuickBooks.

How SimpleIndex reads a document
Most jobs combine two or three of these: a barcode to separate the batch, a zone for the values that stay put, and a pattern or an AI engine for the ones that move.
Barcodes on the page, or on a printed coversheet, split the batch and set the file name and folder with no typing.
Draw a box on a sample page for values that stay put; use patterns, lists or a plain-English question for ones that move.
Hand-printed boxes and cursive, read by local ICR or, for harder writing, a cloud engine.
Hand only the hard fields to Claude, ChatGPT, Gemini or a model on your own server. Local OCR still reads the page.
Deskew, despeckle, erase black borders, remove hole punches, auto-rotate and drop blank pages before anything is read.

Where captured documents go
SimpleIndex doesn't replace your document management system or accounting software. It feeds them.
Named files in the folder structure you already use, searchable in Windows, SharePoint or any document system.
Create, update or look up records in SQL Server, Access, Oracle, MySQL or any ODBC source, and autofill index fields from what's already there.
Upload to a document library with your custom metadata columns filled in.
Invoices read, filed and posted as bills to QuickBooks with SimpleWorkflow, or to other systems through RPA.
Send documents by email, or export the data as XML, JSON or a custom format for other software.
The Server add-on runs jobs as a Windows service on whatever lands in a watched folder, from scanners, copiers or other software.

Standard or Professional
Standard ($600) is for capture where a person confirms the values: TWAIN scanning, barcodes, zone and full-page OCR with the included engines, file naming, database lookup and export, and searchable PDF.
Professional ($1,800) reads the values for you: every recognition engine, dynamic OCR, mark recognition and handwriting, ISIS scanners, and SharePoint, email, QuickBooks and custom exports.

What is document capture software?
Software that turns paper and electronic documents into organized digital files: it scans or imports them, separates them into documents, reads identifying values with OCR or barcodes, and files or exports each one with that data.
Do I need a special scanner?
No. SimpleIndex works with any TWAIN scanner. ISIS support for production scanners is included in Professional and available as an add-on for Standard and OCR workstations.
Does it work with PDFs I already have?
Yes. Point a job at a folder of PDFs and images, subfolders included, and it processes them the same way as a scan.
Is there a per-page fee?
Not for the included engines. If you choose a cloud engine such as AWS Textract or an LLM, that provider bills you directly through your own account.
Can it run without anyone there?
Yes, with the Server add-on, which runs SimpleIndex as a Windows service on files that land in a watched folder. It works with either edition. Without it, a person starts each batch.
