This Privacy Policy describes Our policies and procedures on the collection, use, and disclosure of Your information when You use the Service and tells You about Your privacy rights and how the law protects You.

- Device means any computer hardware system that can access or execute the Service.

- Service refers to the Application (SimpleIndex).
- Service Provider means any natural or legal person who processes data on behalf of the Company. It refers to third-party companies or individuals employed by the Company to facilitate the Service, to provide the Service on behalf of the Company, or to perform services related to license validation.
- You means the individual accessing or using the Service, or the company or other legal entity on behalf of which such individual is accessing or using the Service, as applicable.
Collecting and Using Your Personal Data
1. Core Runtime Principle: Zero Telemetry and Analytics
The Application is built with a strict “privacy-by-design” framework. Once installed, the Service executes locally on Your Device. We do not automatically collect, monitor, or log usage trends, telemetry, diagnostic cookies, or crash reports. We do not collect information regarding how You utilize the features within the Application.
2. Types of Data Processed for License Activation
To unlock the full functionality of the Application and bypass the default evaluation/demo mode, the Service must verify Your contractual software entitlement.
A. Online License Activation (Automated)
When You perform an online activation or background entitlement verification, the Application connects securely over the internet to Our third-party license management Service Provider, LicenseSpring. During this brief communication, the following technical data is processed:
- License Key: The unique alpha-numeric string associated with Your software purchase.
- Hardware Identifier: A machine-generated hash derived locally from device configurations, used exclusively to enforce device seat limits and prevent software piracy.
- Internet Protocol (IP) Address: Automatically visible to the server infrastructure strictly to facilitate secure data transmission, network connectivity, and fraud prevention.
B. Offline License Activation (Manual)
If You operate in a secure, air-gapped environment or prefer to bypass direct server communication, You may initiate a manual Offline Activation. This process involves the following manual data handling steps:
- Local File Generation: The Application locally generates a License Request File on Your Device. This file contains an encrypted local hardware token used strictly to bind the license to that specific machine.
- Manual Submission: You manually email this request file to Our support team at info@simpleindex.com. Your email address and the enclosed hardware parameters are used solely for the contractual purpose of generating and returning Your localized License Activation File.
Once the manual activation file is imported into SimpleIndex, the Application runs completely disconnected from the network and transmits zero bytes of data over the internet.
3. Website Purchases, Transactions, & Mailing Lists
The Application itself contains no embedded checkouts, e-commerce payment pathways, or in-app newsletter subscription forms.
- If You purchased a license or subscribed to an email newsletter via Our official website (www.simpleindex.com), that transactional data (name, billing metadata, email address) was processed entirely through Our web e-commerce framework and its integrated payment processors.
- Please refer to Our separate Website Privacy Policy hosted at www.simpleindex.com to review how web platform histories, payment data, and newsletter subscriptions are managed and protected.
Use of Your Personal Data
The Company utilizes the technical and transactional Personal Data exclusively for the following limited purposes:
- For the performance of a contract: To fulfill the development, compliance, and deployment of the license agreement for the Service You have purchased.
- To manage Your requests: To attend to and resolve licensing updates or manual offline validation files sent to Us.
- Security & Fraud Prevention: To verify that licenses are not being counterfeited or shared beyond authorized device allocations.
We do not share, sell, lease, or distribute license validation data or hardware identifiers to outside data brokers, advertising networks, or third parties except to Our specialized software license processor (LicenseSpring) to handle Your activation requests.
Retention of Your Personal Data
The Company will retain Your licensing and hardware parameters only for as long as is necessary for the purposes set out in this Privacy Policy, or to comply with Our legal obligations (for example, if We are required to retain data to comply with applicable tax or business laws), resolve disputes, and enforce Our legal agreements.
Licensing verification hashes and associated contact records are retained for the duration of your active software entitlement plus up to 24 months after contract termination to resolve post-termination issues or address verification disputes.
