Manufacturing document scanning for receiving, quality and the shop floor

Manufacturers and industrial distributors buy SimpleIndex more than any other kind of business. It scans, reads and files the paper that comes with every order and every part, by PO, heat and work order number, on your own servers, with one license per workstation and no fee per page.

A sample packing slip, mill test report and certificate of conformance from one delivery go through read, file and trace: the PO number 4500031702 found by its pattern, the document type from the title and heat number 8M2907 come out as index values, the report is filed as Receiving\4500031702\MTR_8M2907.pdf, and the heat is traced to work orders WO-261512 and WO-262288

Your ERP runs the plant, but the proof still arrives on paper: a packing slip taped to the skid, a mill test report for every heat, a traveler that follows the job through the shop with initials at every step. Someone scans it, names it and files it, or it sits in a drawer until an auditor or a customer asks.

SimpleIndex does that part. It reads the numbers printed on each page, files the page where your people will look for it, and hands the same numbers to your ERP or quality system.

The paper from the dock to the shipping door

One department at a time, with the same software and its own job settings for each kind of document.

Blanket and spot POs, releases and piece-price changes from automotive customers, in each customer's own layout. SimpleIndex reads the PO number, part number, price and effective date, saves each PO as a PDF named by them, and writes the values to a file your ERP can import.

Uses zone OCR · database export

Configuration

Packing slips, bills of lading and delivery tickets from the dock. The PO number is found by its pattern wherever the supplier printed it, and the whole delivery is filed under that PO.

Uses full-page OCR · PO folders

Material certifications

Configuration

Mill test reports and certificates of conformance. SimpleIndex reads the heat number and grade from each report and names the file by heat, so the shop can find the cert for heat 8M2907 in seconds.

Uses full-page OCR · heat traceability

A barcode with the work order number on the traveler files it, and every inspection sheet scanned behind it, in that job's folder. Maintenance work orders at plants and mine sites are read the same way and named by work order number for your maintenance system.

Uses barcode recognition · job folders

Quality records

Configuration

Receiving and in-process inspection, first article reports, nonconformance reports, calibration certificates. Searchable PDFs, filed by part, lot or job, ready for the next audit.

Uses full-page OCR · searchable PDF

Configuration

Vendor invoices with vendor, invoice number, date and PO number read from the page, filed next to the packing slip for the same PO.

Uses zone OCR · file naming

Travelers and customer POs, read the same way

The routine that files a delivery works on the shop floor and in sales. Here are a sample job traveler and an automotive piece-price change as SimpleIndex read them.

Two SimpleIndex windows: a job traveler read by its barcode as Production, work order WO-266138, Traveler and part AW-20817; and a Tailspin Motors purchase order amendment read as customer Tailspin Motors, PO TM-4522744, part AW-40210, price $1.0506 and date 11/02/2026

Sample documents made for SimpleIndex demonstrations. Adventure Works, Tailspin Motors and the other companies are made up.

Example one_delivery

One delivery, start to finish

Purchase orders, travelers and invoices go through the same steps with their own settings, set up once in the SimpleIndex Configuration Wizard.

  1. Scan the delivery

At the dock, receiving scans the packing slip, the mill test reports and the certificate of conformance as one stack, with the receiving inspection sheet on top. Or the supplier's emailed PDFs go into a watched folder.

A Panasonic KV-S5055C production scanner with a sample purchase order amendment in the feeder and a sample receiving inspection sheet beside it
  2. Read each page

SimpleIndex tells the documents apart by their titles, finds the PO number by its pattern and reads the heat number from each mill test report. A page it cannot read stops on screen for the clerk to type the number.

A scanned sample mill test report beside the SimpleIndex index fields: Receiving, PO 4500031702, MTR, document number and heat number 8M2907, grade A36
  3. File by PO and heat

Each document is saved as a searchable PDF in the PO's folder: PackingSlip, MTR named by heat number, CoC, Inspection. The index log lists every page with its PO, heat and grade.

Windows Explorer open at the folder for PO 4500063312, with the certificate of conformance, the inspection sheet, three mill test reports named by heat number and the packing slip
  4. Find it when the shop asks

The shop types a heat number and gets the mill cert; purchasing opens the PO folder and sees the whole delivery. The same log can feed your ERP or quality system.

The index log of the receiving batch: one line per document with department, PO number, document type, document number, heat number, grade and file name

Ready for audits and traceability

Your quality team decides how scanned records fit your system. This is where SimpleIndex sits against the standards manufacturers ask about most.

ISO 9001
Records must be identified, protected and retrievable (clause 7.5). Every file is named and indexed by PO, heat or job, and the index log shows what was scanned in each batch.
IATF 16949
Records such as PPAP files, purchase orders and tooling records are kept while the part is in production and service, plus one calendar year. Searchable PDFs on your own servers stay findable for that long without a per-page fee.
AS9100 and first article
Mill certs, first article reports and travelers are traced to the heat and the job. Filing by heat and work order number makes that link from the paper itself.
Material traceability (EN 10204, ASTM)
The heat number on the mill test report becomes the file name, so the cert follows the material from receiving to the finished part.
Export-controlled drawings and data
SimpleIndex runs on your own workstations and servers; nothing is sent to an outside service unless you choose a cloud OCR engine for a job.

In production at manufacturers and distributors

A tooling manufacturer scans its work orders with SimpleIndex and reads them by OCR and barcode. A hardware distributor replaced its old scanning software with SimpleIndex for supplier invoices and receiving packing slips. A mining company reads its maintenance work orders and files each one by work order number.

On your servers, for one price

SimpleIndex is installed on your own workstations and servers. Drawings, customer POs and supplier pricing stay on your network.

SimpleIndex Professional is $1,800 per workstation, including the first year of support, then $300 a year. You buy each license once, with no charge per page. The server processing add-on runs large batches unattended.

Questions manufacturers ask

Does SimpleIndex replace our ERP or quality system?

No. It files the paper they leave behind and passes the numbers it reads to them.

Every customer sends POs in a different layout. Does that work?

Yes. Each layout gets its own zones, or SimpleIndex finds the value by its pattern anywhere on the page. One automotive customer alone can send several layouts.

Can it read handwritten inspection entries?

Neat handwriting, often; checkmarks and initials are better caught as boxes or barcodes. Cloud engines read handwriting better than local ones, if your policy allows sending pages out.

Can it send the data to our ERP?

It writes an index file or database rows that your ERP or quality system imports.

Is there a fee per page?

No. A license per workstation, with yearly support after the first year.

Which edition do we need?

Professional covers everything on this page, including full-page OCR and automatic rotation. Barcode reading and searchable PDFs also work in Standard.
