Federal courts and many state courts take filings electronically, discovery goes out as numbered images with load files, and a client's file has to stay confidential the whole way. SimpleIndex handles the paper end of that: it numbers, reads, redacts and files every page as it's scanned, so the result is ready for a filing, a production or your document system without a second pass.

Stamp a Bates number on every page as it's scanned, with your prefix, counting on across batches and production volumes. The Concordance export preset writes the DAT and OPT load files beside the images, a format Relativity and other review platforms import.

Define what a complete case file holds, such as a signed retainer, the exhibits and proof of service, and see what's missing while the file is still being scanned, not during a deposition.

A language model reads the case number, court, parties and filing date by their labels, whatever the layout, and tells a motion from an order or an exhibit so each is filed to its matter. Run it on a model on your own server to keep privileged files in-house.

Every page gets a text layer as it's scanned, so a case file or a production is full-text searchable without a separate OCR pass. A language model can also translate foreign-language documents, with the original kept beside the translation.

Court e-filing
E-filing systems ask for text-searchable PDFs, and that is what SimpleIndex writes, each named by the values you index. Check each court's size limits before you upload.

Does Bates numbering continue across batches?

Yes. The number is an Autonumber field that saves its value after each batch, so the next batch and the next production volume start where the last one stopped. How Bates numbering works.

Does it write load files for Relativity or Concordance?

Yes. The Concordance export preset writes a DAT file with one row per document (first and last Bates number, page count, volume and text file) and an OPT image cross-reference with one row per page. Relativity and other review platforms import the same format.

Can it redact Social Security numbers?

Yes, in Professional. Give an index field a pattern, turn on Redact Matches, and each value that matches is blacked out in the exported PDF. The viewer can also find text and redact it by hand. Check redacted files before you file them.

Do our case files go to the cloud?

No, unless you choose a cloud engine. SimpleOCR, Tesseract and ABBYY FineReader run on your own computer. Textract and cloud models such as ChatGPT are optional, and a model on your own server keeps AI work inside the firm.

Does it replace our document management system?

No. SimpleIndex captures, names and indexes the pages, then files them into the system you already use: folders, SharePoint, a database, or OnBase, Laserfiche or DocuWare through their import modules.

Can it read handwritten notes?

Neat hand print, yes, and how well depends on the writing and the engine. Cloud engines and language models read free handwriting best, but no method reads flowing cursive reliably. See handwriting recognition.
