SimpleIndex Professional, hybrid OCR and AI document capture
AI where it earns its place, OCR where it doesn’t: SimpleIndex runs every document through the fast, included recognition engines first, and only calls on AI if desired for the cases that actually need it, not as a slower, more expensive replacement for the whole pipeline.
How recognition works
Documents run through two groups of engines, in order:
First, SimpleOCR, Tesseract, and ABBYY FineReader read as much of the page as they can. These are included, run locally on your machine, and cost nothing per page, no matter the volume.
Second, only the pages or fields the first group couldn’t handle move on to AWS Textract, a large language model of your choice, or a model you host yourself. You choose which engine handles which case in the job settings, so nothing escalates to a slower, billed engine without your design and consent.
The AI options: pick from major LLM providers and add your own API key, or point Professional at a model you run yourself, including fully air-gapped setups with no internet connection at all (tested successfully on a server with 8 GB of memory). Either way, the per-page cost for AI processing is your provider’s, not ours, billed to you directly and only for the batch you actually run through it. Run your own local model and there’s no per-page AI cost at all.
ABBYY FineReader is included with Professional and runs locally alongside Tesseract and SimpleOCR, useful for degraded originals, multi-column layouts, and non-English text where the free engines struggle with more complex recognition.
Barcodes
SimpleIndex uses barcodes for basic tasks like knowing where to start a new document, and more sophisticated ones like taking name and address information from a single 2D barcode and separating it into a series of index fields. Integrating the Pegasus engine from Accusoft, it recognizes dozens of barcode types, from a simple separator sheet to a QR code carrying dozens of data points.
Database Connectivity
SimpleIndex reads from and writes to popular database systems including Microsoft Access, MySQL, SQL Server, and anything ODBC-compatible. On the read side, it can look up additional details about a value that’s already been captured, confirming a patient’s name once their ID number has been read off a chart, for example. On the write side, index data and file locations export to a database so later searches are fast, and SimpleIndex itself can be the front end for those searches.
One-Click Processing
Enable Pre-Index and a single click runs the whole job: documents scanned, indexes captured, files saved with meaningful names in the location you’ve chosen.

Professional automatically activates SimpleQB (QuickBooks integration), SimpleExport (custom exports to content management platforms), SimpleCoversheet (barcode coversheet printing), and SimpleView (search, view, and edit), with no separate serial numbers to track. Each is still available on its own for Standard installations that only need one of them:
Professional also adds email import, sending processed files out by email, SharePoint upload, and XML/JSON file parsing, all included, not separately licensed add-ons.
