Scan to SharePoint, with every column filled

SimpleIndex scans paper or picks up existing files, reads the values you file by, and uploads each document to your SharePoint library with its columns filled and its folder created. It works with SharePoint in Microsoft 365 and with SharePoint Server on your own network.

A scanned Fabrikam invoice with its vendor, invoice number and date read from OCR zones goes through read, map and upload into a SharePoint document library: the folder Invoices, Fabrikam, 2026-10 is built from the values, and the new file INV-30417.pdf appears with its Vendor and Date columns filled

What it does with SharePoint

Each of these is a setting in the job, and they combine.

Zone OCR, barcodes, check marks and text patterns read the values, and each index field goes into the matching column, so documents can be sorted and filtered, not just searched.

Uses zone OCR · barcodes · OMR · patterns

Build the folders as it goes

Folder paths can come from index values, such as Invoices / Fabrikam / 2026-10. Folders that don't exist yet are created on upload.

Uses folders from index values

Check before upload

Values can be reviewed and corrected on screen before anything reaches the library, so a misread never becomes a wrong column.

Uses review · correct

Point a job at existing folders. Text in PDFs and Office files, or OCR on scanned images, supplies the column values, so years of files arrive tagged.

Uses PDF and Office text · OCR

Microsoft 365 with modern sign-in

Sign in through Microsoft's own window, multi-factor included, then pick the site, library and folder from a list.

Uses SharePoint Online

SharePoint Server on your network

Uploads to SharePoint Server on your own network use your Windows sign-in.

Uses on-premises

Setting it up takes four steps

  1. Sign in

Microsoft 365 through Microsoft's sign-in window, or SharePoint Server with your Windows account.

  2. Pick the library

Choose the site, document library and folder.

  3. Match fields to columns

Each index field fills the library column with the same name.

  4. Run the job

Scan or point it at a folder. Documents upload with their columns filled.

03

Sign-in and security

No password is stored: Microsoft's sign-in token stays on the computer that made it. Files go straight from your computer to your SharePoint, not through any service of ours.

Large files upload in parts, and in libraries that require check-out, each file is checked in for you.

04

Running on its own

With a SimpleIndex Server license and an app registration in your Microsoft 365 tenant, the job uploads on a schedule with nobody signed in. Network scanners and hot folders can feed it all day.

Before you connect a library

Does it work with SharePoint Online and on-premises?

Both. SharePoint in Microsoft 365 through Microsoft's own connection, and SharePoint Server on your own network.

Does it work with multi-factor sign-in?

Yes. You sign in through Microsoft's own window, so multi-factor sign-in works as it does everywhere else in Microsoft 365.

Which column types does it fill?

Text, number, date and choice columns are filled from index values, matched to the column by name.

What if the file already exists?

It is replaced, or the new pages are added to the existing file, depending on the job setting.

Can it run unattended?

Yes, with a SimpleIndex Server license and an app registration in your Microsoft 365 tenant.

Which edition do I need?

SharePoint upload is part of SimpleIndex Professional.

Doesn't SharePoint do OCR itself?

Microsoft 365 can make the text in scans searchable. SimpleIndex fills the columns you sort, filter and build views on, and files each document in the right folder.

Try it on your own library
