Overview  

SimpleIndex's open architecture and generic feature set mean it can perform virtually any scanning and indexing task that needs done.  These sample applications highlight a few of the ways these features can be used to create uniquely useful and automated solutions.

Automatically Process Images from Digital Copiers  

Most digital copiers have the ability to scan a TIFF image file to a shared folder on your network.  However, getting an image with a recognizable filename and index fields you can search on is usually a labor intensive, if not impossible task.  SimpleIndex with SimpleCoversheet provides a way for the whole office to organize documents they scan with your existing digital copiers.

First configure SimpleCoversheet to print barcodes containing the index data you want to use to organize scanned documents.  Different document types can have different coversheet configurations, and should be saved to different folders for processing with the appropriate SimpleIndex job.

Use the Schedule Job function (in the File menu) to run a SimpleIndex job automatically on a server or workstation.  The job should import the images from the appropriate input folder, read the barcodes and automatically export the files using the Pre-Index Batch feature.  This job can now run unattended as long as a user is logged on to the workstation.

SimpleIndex can automatically move invalid image files to another folder to prevent automatic processing from halting unexpectedly.  Use the Aborted Batch Folder setting in the INI file to configure this feature.

 
Integration with Custom Business Software  
The command line interface makes it easy to add dynamic batch scanning and indexing to any custom application.  Just a single line of code is necessary.  Simply configure a scanning and indexing job in SimpleIndex that creates the output files your program expects, then pass this file to SimpleIndex as a command line parameter.  SimpleIndex will perform all the scanning and indexing tasks specified by the job file.  If the Pre-Index Batch option is selected, process takes place completely in the background with no interaction with the user.

Index field parameters may also be passed via the command line, letting you use data from your application to set field values and output filenames.

 
Distributed Capture  
Distributed capture applications use SimpleIndex to scan and index documents and SimpleSend to upload them automatically to a central server.  There are several features you can use to make distributed capture easier to roll out and manage.
  1. Automatically download configuration files and installations scripts when installing SimpleIndex
  2. Configuration files can be hosted on a website for central management
  3. 1-click scanning and indexing makes it easy to train remote users
  4. Uploads can be scheduled to run at night when bandwidth usage is low
  5. Generate unique logfiles for each location for tracking and quality control
 
Standalone Document Management System  
Any SimpleIndex job file can be turned into a standalone document management system with a couple quick steps, and you don't need to know anything about databases.  Simply select Create Generic Access DB from the Select a Database option on the Database tab to link your job file to a generic MS Access database that will store your index information.  Next choose Insert New Records from the Database Mode tab.  Now this  job is configured to add records to a searchable document database when you scan.

To search the database, simply change the Database Mode to Retrieve and View Records and save the job with a different filename.  Now you can use the first job file when scanning and the second when searching!

 
Mail Room Scanning / Scan to E-Mail  
This application uses the full SimpleIndex Imaging Suite to create a fully automated electronic mail room processing system. 

First, SimpleCoversheet is used to print out a reusable barcode for each recipient.  The person sorting the mail places the appropriate barcode in front of the mail for that user.  SimpleIndex is then configured to read the e-mail from the barcode, create a PDF file from all the pages until the next barcode, then launch SimpleSend automatically to send the file to the appropriate person.

The whole scanning, indexing and e-mail process executes automatically with our 1-click interface.  Scanning can also be done on a digital copier, as in the above scenario.

 
Process My Documents to Network Server  
A common problem on many corporate networks is that important company information is stored on the desktops and laptops of various employees and is not searchable in the main corporate network.  Even when files are stored on network drives, they rarely have a standardized folder and file naming scheme that makes it easy to find the file you need.  SimpleIndex can solve these problems.

Use the Template Matching and Dictionary Matching OCR features with MS Office and PDF files to sort them automatically by extracting key index fields like dates, employee/customer name, social security number, document type, etc. from the text.  When processing full-text data from existing or OCR'd documents, the coordinates on the Zones & OCR tab can be used to specify the row, column, width and height of the search area within the text.  This lets you exclude regions that may produce false positives, as well as capture data from a fixed location on standard forms.

The following video shows the Sort My Documents demo configuration included with SimpleIndex.  Word documents, Excel spreadsheets and PowerPoint presentations are automatically sorted using the SimpleIndex template and dictionary matching algorithms.  The files are reorganized using the Sales Rep, Customer, Document Type and Date extracted from the text.  Retrieval Mode is then used to search and view the sorted files.
